How the COVID Welfie App works
The below screenshots will walk you through the Covid Welfie, a “Wellness Selfie” every member of your school(s) will take before they come to campus.
Your district’s Super Admins (those with the highest level of authorization) will have insights into the COVID health of the entire population of your district and can view any category, including students, staff, third parties — anyone connected to the school."
Every Day Starts with a COVID Welfie
The screenshot below shows you where each person will land after they login to Welfie. From here, they can update a vaccine status or test status/result. They can also upload any related documentation.
Enter Vaccine Status in a Few Easy Steps
Below is the screenshot for updated vaccine status. As you can see, the user chooses between vaccinated and unvaccinated as well as the type of vaccine they received.
Verify Vaccine Status in a Snap
Below, you can see the selections made and the Verify button in green. This gives the user the ability to be sure they have entered the correct info. If not, they can go back and adjust their selections.
Vaccine Date and Dose Recorded
Below, you can see the date of the last vaccine received and the option to choose if it was a first or second dose. This will adjust as boosters become required or available. Users can enter a brief note for the administrator if they choose.
It’s Easy to Upload Proof of Vaccination
Once all vaccination information is entered the user has the ability to upload documentation of vaccine status.
Vaccine Proof can be Image or PDF
The user can select a file from their file system that has the correct documentation in image or file form.
Then, Just Verify Vaccine Status and Clarity of Image
Once the user has uploaded their documentation an image of the file will appear. They can then verify the completion of the responsibility of updating their vaccine status.
Vaccine Status Updates Automatically
The user is returned to their landing page where you can now see that their profile shows as vaccinated. When the booster becomes required or available, the user can easily update that information using the same process. Welfie can also push out email and text reminders to the whole community or to individual users who may have outstanding action items. This feature is extremely helpful while people are setting up their COVID Welfie and also to ensure compliance around testing and reporting results.
Automatic Reminders are Easy to Change
The screenshot shown below shows a user who has selected the option to update their test results. As an administrator, you can choose the testing interval for any and all subgroups. You can also change it whenever you want, for example, when guidelines and requirements change.
People will automatically be sent reminders so your staff doesn’t have to worry about sending them out manually or individually.
And updating test results mirrors the steps taken to update vaccine status, making it very easy for people to use. If other testing options become available, we’ll add those as well ensuring they are user friendly.
Updating Test Results is Fast
The user will make the correct selections based on their test result and test type.
Reporting Test Results and Compliance is a Breeze
The user selects the date of their test and the date of their result. This information is easy for admins to view and report. You will always have up the minute data and be able to demonstrate compliance.
Verification Helps Deliver Better Data
Like with Vaccination verification process, the user can review, go back and edit, and choose to upload documentation before choosing the verification button that confirms their input is correct.
People can Upload Image or PDF to Verify Test Results
The user will choose their file to upload from their own file system.
Image of Proof is Automatically Added when Verified
Once the user has uploaded their documentation an image of the file will appear in the window and they can then confirm and verify all information.
You Choose How Frequently Reminders Go Out
Once completed, the user is returned to their main profile page for the COVID module. Here they can see that their tasks are completed. Reminders will be dispatched for test updates, boosters, etc. This empowers the person to be responsible for their component of accountability toward school and district compliance. The respective administrator has full access based on their role to review and sort information as needed to meet compliance reporting requirements.
Know the Health of Your School(s) in Real time
As a Super Admin, you can see into the health of every member and community. You can also set up communities however you like. And people can belong to more than one community. You can organize communities by:
schools
classes
all employees
all students
employees at a particular site
teaching staff
certified staff
classified staff
3rd-party contractors such as social services or support team members
all of the above — and then some!
Communities allow you to immediately communicate with a particular group when you don’t need to reach out to others. It also lets you more easily report out across employee type/location/etc. and even to identify areas that are out of compliance so you can get things back on track.
Staff also have the option to request exemption and upload either their request or approval of exemption that they may receive from HR. Each district may handle exemption differently so we have designed the module to be flexible.
All information that is protected under HIPPA is unavailable to administrators unless they are a Super Admin and authorized to view such information. We designed the Covid Welfie to meet your requirements without compromising privacy or rights under the law. By way of example, a High School principal may be set up as their site admin in order to work toward compliance. However, they would not be allowed to see anything more than those individuals that are in or out of compliance if allowed in the local rules. If more restriction is needed, then they may only see the number in or out of compliance. No documentation would be available to a site leader other than their own.
